Venue hire & set-up

What is included within venue hire?

Exclusive use of The Mulberry Barn, its private terrace and private bar for the agreed period; tables and chairs for up to 150 guests; standard lighting, heating, utilities, agreed outdoor areas, bar facilities and agreed staffing. Linen, crockery, cutlery, glassware and styling are additional unless quoted.

Do we have exclusive use?

Yes. Your hire gives you exclusive use of the barn, private terrace and private bar. It does not include exclusive use of the whole Farmhouse property.

How many guests can The Mulberry Barn accommodate?

The Mulberry Barn provides formal dinner seating for up to 150 guests and standing arrangements for up to 300. The final safe capacity depends on the agreed layout, entertainment and other event requirements.

What time can we access and leave?

Arrival, set-up, finish, clear-down and supplier collection times depend on your wedding and are agreed in writing when you book. The bar normally closes at midnight, but the confirmed bar and event finish times are specific to your booking.

Will the venue decorate for us?

We position tables and chairs to your agreed floor plan. Styling and decorating remain with you and your suppliers unless additional support is included in your package.

Booking, payments & cancellations

When is our wedding booking confirmed?

Your wedding is confirmed once the contract has been accepted and the required deposit has been paid. A provisional date may be released if confirmation is not received within five working days.

How do we accept the wedding contract?

The contract may be signed by hand or accepted electronically. Electronic acceptance has the same effect as a signature. Your booking is not confirmed until the accepted contract and required deposit have both been received.

Are quoted prices inclusive of VAT?

Yes. Quoted prices include VAT at the applicable rate. No additional service charge applies unless it is expressly stated in your accepted quotation.

What deposit and payment schedule applies?

A 20% non-refundable deposit is due when booking. Payments then reach 50% of the contracted value six calendar months before the wedding, 90% four calendar months before, and 100% three calendar months before. Your accepted quotation and contract confirm the amounts and dates.

What are the wedding cancellation charges?

More than six calendar months before the wedding, 20% of the contracted value is payable. From exactly six months until more than four months before, 50% is payable. From exactly four months until more than three months before, 90% is payable. Exactly three months before or later, 100% is payable. Cancellation must be made in writing.

Can we postpone our wedding?

A wedding may be postponed once, subject to availability and written approval. It must be rescheduled to take place within 12 months of the original date. A non-refundable administration fee equal to 10% of the total contracted value applies, and cancellation terms remain based on the original date.

When are final guest numbers required?

Final wedding guest numbers must be confirmed 14 days before the wedding. Any agreed minimum numbers or minimum spend still apply if final numbers are lower.

Food, drinks & suppliers

Is food included in venue hire?

Food and drinks are planned and priced separately around your menu, guest numbers and budget.

Can we use our own caterers and suppliers?

Professional external suppliers are welcomed by prior agreement. They must confirm arrival, set-up, clear-down and collection times, hold suitable public liability insurance, supply required risk assessments and provide current PAT evidence for any electrical equipment brought to the venue. External caterers must be self-sufficient.

Can we bring alcohol?

External bar providers and unrestricted external alcohol are not permitted. By prior written agreement, couples may supply selected wine, Prosecco or Champagne, with corkage charged per 75cl bottle.

Can the bar stock particular drinks?

Where possible, particular beers, wines, spirits or cocktails can be sourced in advance. Special-order terms will be confirmed before purchase.

Can you cater for dietary requirements?

Menus can be planned around many dietary requirements. Tell the wedding team about allergies and dietary needs as early as possible so the available choices can be confirmed.

Accommodation & guests

Is there accommodation on site?

Yes. The Farmhouse offers 40 guest bedrooms in total, including accommodation within Farmer’s Cottage. Accommodation is charged separately and subject to availability unless specifically included in the confirmed proposal.

Can bedrooms be reserved for guests?

Subject to availability, an agreed room allocation is held exclusively for eight weeks from the date it is allocated. After eight weeks, the exclusive option expires and unreserved rooms may return to general sale.

Who is responsible for rooms in the allocation?

The contract client is not responsible for rooms that are never reserved. The contract client remains responsible for payment for any room reserved within the allocated block that remains unpaid.

Is parking available?

Complimentary on-site parking is available for event guests.

Are children welcome?

Yes. Children are welcome and must remain supervised, particularly around outdoor and parking areas.

Ceremonies & planning

Where can we hold the ceremony?

Licensed indoor and outdoor ceremony settings are available. Your preferred layout and wet-weather alternative are agreed during planning.

What decorations are allowed?

Decorations must be table-based or freestanding. Nothing may be fixed to walls, ceilings, windows, doors or venue fixtures, and nails, screws, adhesives, pins and other fixing devices are prohibited.

Are candles or fireworks allowed?

LED candles are permitted. Naked flames and fireworks are prohibited.

Can we use confetti or special effects?

Confetti and all special effects require written approval in advance and may be subject to conditions.

Do we need wedding insurance?

Wedding insurance covering cancellation, supplier failure, illness and other unexpected circumstances is strongly recommended.

May The Farmhouse request a damage deposit?

Yes. If a refundable damage deposit is required, its amount, payment deadline, deduction conditions and refund date will be agreed in writing before the wedding.

What happens if The Farmhouse cancels?

If The Farmhouse cancels for reasons within its reasonable control, all amounts paid will be refunded. Cancellations caused by circumstances beyond its reasonable control are handled under the force majeure terms in the wedding contract.

How do we raise a complaint or send formal notice?

Contact the wedding team in writing using the email or postal address in your contract. Complaints should be raised as soon as reasonably possible and no later than 14 days after the wedding. We will acknowledge them within five working days and aim to respond in writing within 20 working days.
