Information we collect
When you request a brochure or make an enquiry, we may collect your name, email address, telephone number, preferred date, guest numbers, event requirements, budget information and anything else you choose to tell us. If you proceed with a booking, we will also collect the information needed to prepare proposals, contracts, invoices, payments and event plans.
Our hosting and security services may process technical information such as IP address, browser type, device information, requested pages, timestamps and security logs.
How we use it and our lawful bases
- To respond to requests, provide brochures, arrange viewings and prepare proposals—our legitimate interests in operating and developing our venue business and, where applicable, steps requested before entering a contract.
- To manage confirmed bookings, contracts, payments and event delivery—performance of a contract and compliance with legal obligations.
- To keep our website secure, diagnose problems and prevent misuse—our legitimate interests in protecting our systems and visitors.
- To send marketing where you have consented or where permitted by law on the basis of legitimate interests. You may opt out at any time.
Forms and service providers
Our brochure and enquiry forms are supplied by Harpsen, our customer relationship management provider. Information entered into those forms is transmitted to Harpsen and made available to our authorised team so we can manage and respond to your request.
We may also share relevant information with website hosting, email, payment, professional advisory and technology providers acting for us. For a confirmed event, information may be shared with agreed suppliers where necessary to deliver your plans. We do not sell personal information.
International processing
Some technology providers may process information outside the United Kingdom. Where this happens, we require an appropriate legal transfer mechanism or other safeguards required by UK data-protection law.
How long we keep information
Unsuccessful or inactive enquiries are normally kept for up to 24 months after our last meaningful contact, unless you ask us to delete them sooner and no legal reason requires retention. Booking, contractual, payment and accounting records may normally be retained for up to six years after the relevant relationship or transaction. We may keep information for longer where required by law, a dispute, insurance or safeguarding obligations.
Your rights
Depending on the circumstances, you may ask us for access to your information, correction, deletion, restriction, portability or to object to processing. Where processing relies on consent, you may withdraw it at any time. Contact us using the details above. We may need to verify your identity.
